URGENT!!!! Car Park Passes

The car park is now being monitored for cars not displaying college car park passes. We are supposed to get them each year from the college but that hasn't happened for a few years, (even though we have asked nicely).  The college now say we can print our own, with our own logo.  I will set this up so that you can create your own pass.

In the mean time I suggest putting your own small sign inside your car, saying you are with Henley Tennis Club and awaiting your car park pass, please add your name and contact number.

Chairman’s report

Chairman ran through his comments for 2019 (see Below.)

Some discussion had over membership fee for 8yrs and under – agreed this would be increased from £15 to £20 but remain at 8 and under (as opposed to changing to 5yrs and under)

Good evening and thank you to all who are attending.

This is the Chairman’s Report for 2019 / 2020.

Overall, this has been a quiet year on deliveries.

Our main focus has been on keeping the club courts and grounds up to a good standard, along with floodlight planning and lease changes.

We are making steady progress, all be it, slow progress.

The current membership of 233 is practically the same as in 2018/2019. Which indicates we have a reasonably strong core of members. However, we are 200 members off of our best ever year. At this moment we do not have an answer as to why this fluctuation has occurred. This is something to be looked at in the coming months as we move towards another membership year starting April 2020.

We are planning fee increases for 2020/2021, to help us with the forthcoming proposed spending.

These are still the smallest fees in the area. Peppard is £165, Family is £310, Juniors are £55.

                                                                                  2019/2020                      2020/2021

5 and under                                                              £15                                         £20

18 and under                                                            £30                                         £35

Student 25 and under, in full time education    £30                                         £35

Adult                                                                          £67                                         £75

Family                                                                        £154                                       £165

Social                                                                         £15                                         £15

Henley College Staff Discounted                            £50                                         £60

I believe the club finances are strong as we had very little expenditure over the last year. Future projects will affect our balance. However, we do intend to apply for a couple of £10,000 interest free loans to help with the large expenditure we are planning over the coming year’s.

Next membership year we aim to have completed the sign off of the new version of the lease and installed floodlights on a minimum of the bottom two courts, Courts 1 and 2.

We also have plans for the following –

1.       Removal of a tree in the car park that is affecting the ground of court 1.

2.       Clearance of 2 meters of shrubs and trees along courts 3, 4, 5.  This will help with leaf fall on to those courts.

3.       A defibrillator for health and safety

4.       A new ball machine.

Courts 1 and 2 are starting to look a little tired and need some maintenance.  This may even require re-surfacing.

The future of the site is still a little unsure, although we are making provisions for a bigger buy back in a re-write of the lease, if the worst happens. There is very little news from the consultants working for Henley College as to any progress on land sale or redevelopment. Any questions raised by us are usually ignored for usually months at a time.

We can only hope that sanity prevails and that the land will not be earmarked for redevelopment.

I would like to hope that all of the items I set out to do as Chairman will have been completed by this time next year. If they have then I would be happy to step down as Chairman. If we have failed to complete the new lease and have floodlights then I will definitely step down as I will have deemed this to have been a failure and we should look immediately for another Chairman who can promise delivery and take the club forward.

I would like to thank the following people who help run our club –

1.       All of the committee for their work and attendance at meetings

2.       I would also like to thank Rob Dickie for looking after the Club Championships so well this year, with some help from Jeremy Wright and Max Miles Thomas

3.       Thanks to the team Captains for looking after our competitive sides, Jeremy Wright, Jess Craig, Agnes Ruusmann, Hussein Abdulaahi, Levis Mcandew Brown.

4.       Thanks to Marcus Richardson for helping with Spring/Summer Club night attendance.

5.       Thanks to Max Miles Thomas and Jeremy Wright for making our new Spring/Summer Team nights so well attended.

I apologise if I have missed anyone.

As usual we are open to having more people active on the committee and very open to any feedback or new ideas and proposals.

Please do get in touch.

That concludes the end of year report.

Chairman’s Special Announcement.

I would now like to move on to an award for a particular member of the club.

We currently have 2 free lifetime memberships, Eric Davies, and Mike Pugsley.

It gives me great pleasure to offer a third free lifetime membership.

This proposal is for a man who has served on the Committee in two phases since I have been at the Club. He has served as various roles, Child Protection, Social Organisation, Planning Application Management. He always attends the committee meetings and contributes to all aspects of Club discussion.

We, the committee, would like to offer Allen Levy a lifetime free membership to the club for all of his hard work on the committees in the past and for the work that he is continuing to do on the current committee, especial the work on  the planning application for floodlights. You have been and are a great asset to the club and we all appreciate the time and effort you give to Club matters.

Maintenance

Moss cover becoming an issue on the bottom courts: Will initially be jet washed

Proposal for a gate on bottom court – on the list for 2020.

Finance report

Membership numbers are still down but nevertheless there was a 13% increase in subs to £12,400.  Otherwise income and expenditure have broadly balanced out yielding a small £600 increase in our final bank balance of £47,378. However, there was a carry over to 2019/20 of £2,200 expenditure on tennis balls and equipment which would have reduced the balance to around £45, 000.

The continued inflation of courts etc costs reflects the final £10,500 bills for the upgrading of courts 3,4&5 (a total of £25,200).

The high insurance figure reflects the carry-over of last year’s bill and the zero cost of water is due to credit from Castle Water due to over-charging.

Floodlights

Pre application planning application to get advice on full application has been submitted. Response – in principle council are in favour, however there are provisos. Full planning application needs to include further information on the lighting (spillage) and local ecology (incl. trees & bats).

AOB

Allen proposed we try to have better relationship with town councillors/schools etc. All agreed – needs people to have the time to put into it.
